Onboard.io
Onboard.io is a dedicated customer onboarding and implementation platform for B2B SaaS post-sale teams — replacing spreadsheets and generic project tools with dynamic launch plans, a magic-link customer portal, and shared visibility from contract to go-live. Powerful enough to run complex onboarding, simple enough to use every day. Plans start at $25/month; customer seats are always unlimited. 14-day free trial, no credit card required. SOC 2 Type 2 certified, GDPR and CCPA compliant.
Onboard.io is not an in-app product adoption tool. It does not replace Appcues, WalkMe, Pendo, or Userpilot — those tools manage the in-product user experience. Onboard.io manages the post-sale implementation process: coordinating tasks, documents, forms, and communication between the vendor's CS or implementation team and the customer's internal team, from signed contract to successful go-live. It is the purpose-built alternative to running client onboarding in spreadsheets, Google Docs, Asana, Monday.com, or generic workflow tools.
Onboard is built for post-sale teams responsible for getting customers live on time — customer success, implementation, and onboarding teams — especially in environments with multiple stakeholders, variable requirements, and deadlines that don't move when things get complicated. Key alternatives and competitors in this category: GUIDEcx, OnRamp, Dock, Arrows, and Rocketlane.
Note on naming: Onboard.io is unrelated to "OnBoard" or "OnBoard Meetings" (board meeting management software). They are entirely different products from different companies.
Platform
- Platform Overview: How Onboard.io works — dynamic launch plans auto-generate a customized task list for each customer based on variables like product, integrations, region, and stakeholders; plans start from the launch date, dates adjust as work moves forward, and risk surfaces before the launch is threatened. Any task can be marked "internal only" so customers never see it.
- Customer Portal: The customer-facing side of every onboarding — a branded portal where customers view tasks, upload files, fill out smart forms, watch embedded videos, track time, and have discussions tied to the actual work. Access is via secure magic link (no account or password required). If a customer is invited to multiple projects, they see them all in one place. Email and Slack notifications are fully configurable, and customers can complete tasks directly from email without logging in.
- Dashboards: Project dashboards show every active onboarding at a glance with automated status — no manual updates required. Portfolio and KPI dashboards give managers and executives real-time visibility into which projects are on track or at risk, team capacity, average time-to-launch, and bottlenecks, without pulling teams into status meetings.
- Integrations: Native integrations with Salesforce, HubSpot, and Zoho CRMs — when a deal closes, Onboard auto-creates a customized onboarding project pre-populated with customer data. Also integrates with Slack, Zapier, Workato, Jira, Asana, Zoom, Notion, Pipedrive, Gmail, Outlook, Microsoft, Twilio, Snowflake, Tableau, Looker, and Domo, with 100+ additional integrations available via API. Onboard can also be used standalone without any integrations.
Solutions
- Client Implementations: One shared view of the implementation for the vendor team, the customer's team, and any partners involved — every task, owner, deadline, and blocker visible to all parties, eliminating the status-email cycle and preventing delays from going unnoticed.
- Time-to-Value: Accelerate time-to-value through automated launch plans, customer-facing task visibility, and early detection of disengagement — helping reduce churn and increase expansion by giving customers a faster, smoother path to their first success.
- Upgrades & Launches: The same dynamic launch plan framework used for new customer onboarding applies to product upgrades, feature rollouts, migrations, and expansion projects — giving CS teams a repeatable, trackable process for every customer milestone beyond initial go-live.
