Most software evaluations follow the same pattern. You look at features. You test the UI. You check integrations. You compare pricing. Security usually comes up late, or only when someone from technology gets looped in after the fact.

That's a problem, because your onboarding platform isn't a peripheral tool. It's where new customers spend their first weeks with your product. They're uploading documents, filling out forms, and exchanging information. Your team is coordinating across internal stakeholders, managing files, and tracking progress. Everything flows through it.

By the time security concerns surface, you've usually already got a preferred vendor. Here's what to be asking from the start.

Start with what your customers actually see

Most security conversations focus on the internal platform… encryption, access controls, certifications. Those matter, but they often overlook the customer-facing side: the portal where your customers spend most of their onboarding time.

That portal is where sensitive information actually gets entered. Documents get uploaded. Forms get submitted. Files change hands. If the portal isn't secure, or if it doesn't look like it belongs to your company, customers will hesitate… and they should.

A few things worth verifying before you commit to any platform:

All pages in the customer portal should be served over HTTPS. That's table stakes. Beyond that, look for custom domain support, your portal should live on your domain, not a generic subdomain of a third-party tool. This isn't just aesthetics. It's a trust signal, and it matters to customers who are deciding whether to hand over sensitive data.

Who can see what, and who decides

Onboarding involves a lot of people. Your implementation team. Customer stakeholders. Executives who want visibility without being in every detail. Third-party contractors. The list grows fast.

A platform without granular access controls quietly becomes a liability. Everyone ends up with more access than they need, and there's no clean way to audit it.

Look for role-based access controls (RBAC) that let you configure what each team member sees and can do, not just broadly, but at the project level. SSO (Single Sign-On) matters here too: it reduces the number of standalone credentials floating around and plugs your onboarding platform into your existing identity management setup. Audit logs round this out, the ability to see who accessed what and when is essential for accountability, and often a requirement for enterprise compliance reviews.

On the customer side, make sure visibility is locked down too. Each customer should only ever see their own project,their tasks, their files, their timeline. No exceptions, no accidental cross-visibility.

Infrastructure you can actually verify

Cloud hosting has become so commonplace that vendors rarely elaborate on it. But there's a meaningful difference between "hosted in the cloud" and hosted on AWS, Google Cloud, or Azure with documented security certifications.

Major cloud providers come with built-in redundancy, global compliance frameworks, and security controls that would be nearly impossible to replicate independently. When a vendor's infrastructure is hosted on one of them, they inherit a layer of trust that's independently audited and verifiable.

Beyond the hosting layer, data is encrypted in transit using TLS 1.2 or higher (with TLS 1.3 preferred where supported), and encrypted at rest using AES-256.

Certifications: what they mean

SOC 2 Type II is the benchmark for SaaS security compliance, but not all certifications are equal. Type I is a point-in-time assessment. Type II means controls have been audited continuously over an extended period, that's the one that tells you how a vendor actually operates day-to-day, not just how they presented at audit time.

If you serve customers in the EU or operate in regulated industries, also confirm GDPR and CCPA compliance. And if your customers handle protected health information, ask about HIPAA alignment explicitly,  don't assume.
